Approve and manage leave requests
How to approve, decline, cancel and withdraw time-off requests in ZenAdmin, and what each request status means.
Where do requests land?
Approvers see pending Time away requests in Tasks & Approvals — each card shows the requester, dates, day count and reason, with Approve and Decline buttons. Declining asks for an optional reason, which the employee sees.
Requests can also be actioned from the employee's profile: Time off → Leave Activities lists their history with the same controls.
What do the statuses mean?
| Status | Meaning |
|---|---|
| Pending | Waiting on the approval chain. |
| Approved | Booked — it shows on the who's-away calendar. |
| Declined | Rejected by an approver, with their reason. |
| Cancelled | Called off after submission. |
Cancelling and withdrawing
- Withdraw request — the requester pulls back their own pending, future request.
- Cancel request — a pending request is cancelled by a manager or admin.
- Cancel leave — an already-approved future leave is called off, returning the days to the balance.
All of these live on the request's card in Leave Activities, shown according to your role and the request's state.
