Create a leave policy

The ZenAdmin leave policy wizard explained — assignment, entitlement, accrual, extra allowance, proration, carryover, request rules and approval.

A leave policy ties a leave type to entitlement rules and an approval flow, then applies to a set of employees. Open Time Off → Policies → New Policy to start the wizard. Steps marked fixed only appear when the entitlement is a fixed number of days.

1. Manage Employees

Who the policy applies to: All Employees, Custom (a condition builder — for example department equals Engineering, or country is one of SG/IN), or None for now. The Apply Date decides when coverage starts: the employee's start date, a custom date, the start of the current cycle, or the next cycle.

2. Details

Policy name, the leave type it grants, and a description.

3. Entitlement

  • Fixed entitlement per cycle (a set number of days) or Unlimited.
  • Accrual From sets the cycle: the employee's start date (anniversary-based) or a calendar month like January (calendar-year cycle).
  • The annual entitlement in days, the accrual method (monthly or yearly) and whether days are granted at the start or end of the cycle.
  • Optional encashment — the percentage and maximum days that can be paid out.

4. Extra Allowance (fixed only)

Tenure-based bonus days — after a given time worked, employees earn additional days on top of the base.

5. Proration (fixed only)

How partial months round: nearest/minimum/maximum, to a day, half day or quarter day — plus first-month and last-month rules for joiners and leavers.

6. Carryover (fixed only)

Whether unused days carry into the next cycle, up to a maximum — and when carried days expire (days, weeks, months or years into the new cycle).

7. Request

The booking rules employees feel: leave during probation, negative balances, half days, how far in the past or future requests may reach, maximum days per request, and whether holidays and weekends count as leave. Also the employee inputs — whether an attachment is required (and from how many days) and whether a note is asked for.

8. Approval

Whether requests need approval at all; Default (use each employee's own approval settings) or Custom (override with a specific 1st/2nd approver); auto-forwarding if an approver sits on a request too long; and who's notified of new requests.
